Scheduling is a paid sub-module of Harmony's Time & Attendance module, and is a way for you to schedule your employees to work ahead of time. You can create schedules 1 week, 1 month, and even 1 year in advance if necessary. Scheduling is simply a way to organize your shifts, allowing your employees to work a selected day. 

Pre-Requisites 

  • Your base Time & Attendance module is fully set up (especially your shifts) 
  • Your employees are already in the system 
  • Have purchased the Scheduling sub-module
  • Are logged in as the super administrative user, or any regular user with the required Scheduling permissions

Creating a Schedule

  1. Navigate to Setup > Scheduling. 
  2. Click the "+ New" button to create a new schedule. 
  3. Enter the required fields. 
    1. "Code" refers to the unique short name of the schedule. 
    2. "Name" refers to the long name of the schedule. 
    3. You may also optionally enter a "Description".
  4. Select the "Start Date" and "End Date" of which the schedule will apply. By default, it will be set to the current date and for one (1) month from today.
  5. Select the "Shift" of which the schedule will apply for. Employees who are assigned this shift will appear at the bottom. 
  6. Select the employee(s) and the date(s) of which they will be scheduled to work. You may click an employee's name to select all dates for that employee, or click a date to select all employees for that date. You may also click "Select All" to select all employees and all dates.
  7. Click "Assign Selected" to assign the shift to the selected employees and dates. Click "Unassign Select" to unassign the shift from the selected employees and dates. 
  8. Click the save button to save your changes. 

Tip: There are notifications related to the schedule that you may want to configure. Navigate to Setup > Notifications to set these up, including when an employee is assigned to work a schedule (when the schedule is published) and when someone's schedule was changed.

Things to Consider

  • If an employee is scheduled for multiple shifts in a day, the clock entries must  be assigned a shift in order for the system to confirm which shift that they are working.
  • If an employee is scheduled for multiple shifts in a day, when they requests time off, a 'full day' includes the duration of all shifts for that particular day. A partial day refers to a value less than the full day. 

Viewing a Schedule

  1. Navigate to Schedule > Current. This view will show the schedule for the current date. You can filter the view by location, department, employee type, employee. and/or date. You can hover over or click on a block in the schedule to view its details. 
  2. Navigate to Schedule > Timeline. This view will show the schedule for the current month. You can filter the view by location, department, employee type, employee, and/or date range. You can hover over or click on a block in the schedule to view its details. 
  3. Navigate to Schedule > Calendar.  This view will show the schedule for the current month in a calendar view for one employee. You can change the view by month, week, day, or in a list view. You can also change the employee at the top of the page.
